Tracking Absences

PrismHR tracks paid absences automatically during regular payroll processing. Users can manually enter unpaid absences and review them at any time on a number of different absence reports.

1. The system refers to the pay code record for each pay code entered on an employee time sheet.
2. If there is an Absence Benefit Code associated with the pay code, the system refers to the PTO Absence Code.
3. If the Paid Absence Code indicates that the PTO Register needs updating, the system applies the hours from the time sheet to the employee’s register.
4. If the number of absence hours is more than the total number of hours available, the payroll processor is alerted. The system gives them a warning, but lets the payroll processor continue.
5. Absences that are unpaid and other adjustments to the PTO register are entered manually through the PTO Adjustment Entry. Unpaid absences do not affect the PTO register totals, but may be referenced through various reports and inquiries.
