Importing Client BE/OE Workflows
You can import BE/OE workflows into the Client Workflow Grid to reduce the amount of manual work required.
Note: This import template is only available for service providers.
To upload and import BE/OE workflows for a client, do the following:

You can navigate directly to the Data Import Tool form by clicking (Back Office), then select Data Import Tool on the Operations|Import Processing menu. |

From the Import Template drop-down menu, select Client BE/OE Workflows. |
When you select the import template that you want, the required file layout displays in the form. Before you can upload and import data, your file must be saved in either comma-separated values (.csv) tabular format or text tab delimited (.txt) format with no spaces or special characters in the file name. (Note: You can click Download Sample Header File to download a sample Excel data file in .csv format, which can be saved in either .csv or .txt format before importing it.)

Client ID (required): Unique identifier for the client. |

Workflow Effective Date (Required): Date on which the workflow is available. |

BE Workflow (Optional): The workflow to use for benefit enrollments. |

BE Open Window Length (Optional): The number of days from the benefit enrollment effective date during which an employee can enroll in benefits. (Note: If you enter the BE Workflow, the BE Open Window Length is required.) |

Min # of Overlap Days (Optional): Designates the limited amount of time an employee has to complete the open enrollment workflow when the workflow start date plus the Min # of Overlap Days extends beyond the open enrollment window. |

AE Workflow (Optional): The workflow to use for automatic benefits enrollment. |
|
•
|
OE Workflow (Optional): The workflow to use for benefits open enrollment. (Note: If you enter the OE Workflow, then the OE Start Date, OE End Date, and End Effective Date are required.) |

OE Start Date (Optional): The date when benefits open enrollment start. |
|
•
|
OE End Date (Optional): The date when benefits open enrollment ends. |

•
|
End Effective Date (Optional): The date till which employee benefits apply. |

When using the Client BE/OE Workflows import template, note the following:
|
•
|
If users do not have access to the company through client access groups, users cannot import data into a company. |
|
•
|
If their user role is set to DENY for the Client Details form, but FULL for the Client Accounts form, users can view the Client BE/OE Workflows option on the Import Template menu and import data . |
|
•
|
If their user role is set to DENY for the Client Workflow Grid form, users cannot view the Client BE/OE Workflows option on the Import Template menu. |
|
•
|
If their user role is set to INQUIRY for the Client Workflow Grid form, users can view the Client BE/OE Workflows import template, but cannot import data. |

•
|
If their user role is set to INQUIRY for the Data Import Tool form, users can view Form and import templates, but cannot import data. |
